Everyone should know this: how to write a statement correctly?

To resolve various issues in state and municipal institutions, including the private sector, the entire process usually begins with writing an application (iesniegums).

Situations vary, including complex ones, so it can be quite difficult to sit down at a table, take a blank sheet of paper and clearly and correctly state specific circumstances and needs. The Ombudsman’s Office has learned in practice that people lack the skills to write applications, so it gives advice that can help to do this correctly.

The Ombudsman’s Office and other institutions occasionally encounter situations where a person has written a statement, but it is so confusing, vague, in poetic form (indeed, such things exist!) and contains a lot of unnecessary emotional information that it is difficult to understand what the applicant wants, what the problem is and what has been done so far.

Most often, an application is made if they want or need to ask, inquire, advise, report or complain about something to the institution. In turn, the institution is obliged to consider the application and give an answer.

Technical conditions

The application can be written in free form, and on the websites of institutions you can find application forms and samples for specific situations or receiving services.

It must be written in Latvian, can be written with a pen or on a computer, but it is valid for submission only if signed (with a pen or electronic signature).

If you write your application by hand, you must ensure that the handwritten portion is legible.

In the upper right corner of the sheet, the name and address of the institution (addressee) must be indicated, below it your first and last name, your address of residence, and, if necessary, also a telephone number or email address. In the middle part of the sheet, the word “statement” is written.

What is the main problem? And what is the desired solution? These two questions are worth remembering when writing a statement. You need to think about what is most important in a particular problem situation and how you could tell this to a stranger who will receive this letter or statement from a competent institution and, most likely, does not know anything about this problem in advance.

The introductory part of the statement should state who is the author of the statement and why they are writing it now.

But the main part should be left with the facts – what, when and where happened, how the problem has been resolved so far, what people and institutions are involved, who was asked for help or advice, whether the other side was spoken to and what they responded with.
